Document Controller

Scope: The Document Controller closely monitors and keep track of various documents, such as Emirates ID cards, ATM cards, and Employee Identity cards that are being distributed and received. To ensure accurate and up to date information, regular updates and checks must be conducted using the tools provided by the business. In addition to managing the documents, the document controller is responsible for conducting thorough checks and ensuring timely delivery of received documents from various entities. The individual must always maintain confidentiality around sensitive information.

Financial

• Arrange Emirates ID cards for delivery within 48 hours (2 working days) of their receipt from ICP Portal

Customer

• Update and communicate with employees when the documents are sent for delivery
• Arrange the release of employees’ personal documents within 24 hours of the request
• Report any errors or discrepancies to the Manager immediately and propose solutions to rectify the errors
• Other ad-hoc duties as assigned by the Manager

Process

• Organize, sort and file passports in the fire-proof cabinets in ascending order whilst ensuring appropriate labelling of all documents
• Update the release and acceptance of the documents in the ERP system promptly
• Always maintain confidentiality around sensitive information
• Copy, scan, and store documents as needed

Innovation

• Create or modify processes for better efficiency
• Propose ideas to Manager to streamline processes

Selection Criteria

• Minimum 1 or 2 years of experience required in handling and distribution of documents
• The minimum educational requirements are a diploma or 12th grade
• Proficient in Excel and English language
• A time-oriented approach to handling queries and tasks.
