Roles and Responsibility
- Provide support to the Senior Document Controller for all document control functions, including:
- Quality checking of all document types and correspondence.
- Conduct document quality checks to ensure compliance with Integrated management system (Quality, Environment and Occupational Health & Safety requirements).
- Verify that documents:
- Are reviewed and approved prior to issue.
- Include appropriate version control and revision history.
- Are distributed to relevant stakeholders and withdrawn when obsolete.
- Ensuring consistency in document formatting, version control, and metadata.
- Managing the document numbering system in accordance with company standards.
- Manage and maintain all controlled documents produced by the company, ensuring they are current, accessible, and properly archived.
- Take charge of document identification, classification, and filing in both electronic and physical formats.
- Support colleagues in using the company’s document control system, including assigning reference numbers and uploading documents to the registry.
- Implement a system of continual improvement in document control practices across Etihad Rail.
- Maintain assigned elements of the Etihad Rail Integrated Management System (IMS), including quality, environmental, and occupational health & safety documentation.
- Ensure proper organization, security, and traceability of documents (paper and electronic).
- Coordinate and maintain records of documents and drawings from internal and external sources.
- Interface with Etihad Rail PJSC and other stakeholders to ensure seamless documentation and correspondence management using EPFM and other EDMS platforms.
- Update, manage, and maintain all documents using Etihad Rail’s Document Management System (DMS).
- Provide support to all staff for eSignatures via Circularo.
- Support internal and external audits by maintaining accurate and retrievable documentation.
- Participate in periodic reviews of controlled documents to ensure ongoing relevance and compliance.
Desirable qualifications, skills and experience
Academic Qualifications:
- Degree or similar preferable
Professional Qualifications:
- Vocational Diploma/Certificate from a 2 year Technical course
Experience:
- 3 to 5 years’ experience in document control management
- Electronic Database Management System experience
Other Skills:
- English at an advanced level (both written and verbal)
- Arabic language skills an advantage (both written and verbal)
- Good interpersonal skills
- Knowledge in use of spreadsheets, database, word processing and selected job specific software.
- Ability to keep clear and accurate records and reports.
- Ability to use computer and rapidly input data and retrieve records and information.
- Ability to organize work load and to manage a filing methods and management techniques
- Strong working knowledge of Document Control functions and processes
- Ability to communicate and coordinate work within an integrated multidisciplinary team
- Ability to take initiative and make decisions
- An excellent understanding of the data management require for large scale infrastructure project.
