Kitchen Maintenance Solutions Coordinator Jobs in Dubai, UAE
Scope: This role is responsible to provide efficient and effective day-to-day coordination for kitchen equipment maintenance, between HQ team, site technical team and client stakeholders. Responsible for providing technical support & guidance, including generating spare parts quotations and coordinating service activities based on approvals / parts availability, client priorities.
Financial
- Accurately measure and track quote approval, LPO status, GRN status for final invoicing
- Ability to ensure invoicing is tracked and work completion reports are available
- Contract management support with renewal tracking ensuring Working at Risk is minimal
- Ability to assist with achievement of CI log targets for FY
- Understanding of profit margins and ability to recognize issues during review
- Ensure spare parts quotes are generated, sent, and tracked as per client requirements, measuring conversion percentage
- Ensure correct parts pricing & margins as per BU standards are followed
- Ensure ad-hoc requests are quoted promptly to ensure maximum revenue generation
- Openly collaborate with FP&A team for monthly tracking of revenue & billing
Customer
- Serve as first point of contact for daily service activities, serving clients breakdown & PPM requirements pro-actively & efficiently
- Meet customer’s needs to the highest standard possible – going “above & beyond”, delighting them
- Ensure technical team are assigned in a timely manner for all reactive callouts/breakdowns, proactively managing follow ups and effectively communicating any operational challenges with the client in advance
- Ensure PPM schedules are maintained, actioned, reported & summarized after each cycle
- Assist with and maintain client documentation for third party inspection – HACCP audits, HSE audits etc.
Process
- Ensure technical team are scheduled fairly and evenly – without overloading individual technicians
- Serve as first point of contact between technical team and HQ management – ensuring fair representation and clarity across the team
- Ensure all work is reported and tracked to keep accurate records
- Liaise with different BUs for support or collaboration
- Able to track work completion reports, client LPO’s and co-ordinate invoicing & eventual payments
- Client follow-up for outstanding payments, LPO’s & any approvals for pending or completed work
- CAFM system work order generation coordination, database management, daily operations files, coordination of budgeting and accounting systems
Skills
Selection Criteria
- 5+ years’ experience working in coordinator role
- 5+ years’ experience in and around administrative duties Strong analytical and problem-solving skills
- UAE local geographical knowledge an advantage
- Excellent English, other languages advantageous. Excellent communication skills
- Organized individual with strong Excel knowledge, able to generate reports and present data to line manager
- Outgoing personality – able to communicate effectively with customers, management, and other stakeholders
- Able to communicate effectively with technical team with fairness and transparency
- Able to efficiently co-ordinate technical team based on common geographical knowledge, route planning methodology based on most cost-effective outcomes.
